How to handle a customer who was overcharged (and keep them)

Short answer

Fix it on the spot without making the customer argue. Refund the difference to their original payment, thank them for pointing it out, and tell them about any policy you have for pricing errors. Then fix the cause, because shoppers forgive a single mistake far more readily than a pattern.

Most shoppers who notice a pricing error will say something. In a fall 2025 University at Buffalo survey of 2,011 U.S. shoppers, 91% said they're likely to point out a pricing error to someone in the store. How that conversation goes decides whether they come back.

1. Believe the receipt

If the receipt shows the same item twice, or a price above the shelf tag, fix it. Don't send the customer to the aisle to prove it unless you have to. The time they spend arguing over a few dollars costs you more than the refund.

2. Refund it right away

Void the duplicate or refund the difference to the original payment method while they wait. A fix at the counter takes a minute. A shopper who has to call back later, or dispute the charge with their bank, leaves with a much worse impression.

3. Thank them

A customer who catches an error is helping you find a problem in your pricing. Say thanks, and mean it.

4. Tell them your policy

About a third of shoppers in the same survey didn't know whether their store had a fair way to make up for pricing errors. If you have a policy, post it at the registers and the service desk. Some retailers go further. Under Canada's voluntary Scanner Price Accuracy Code, for example, participating stores give the item free when it scans above the shelf price, up to a set limit.

5. Fix the cause
